Hubdoc alternative: when header-only capture isn't enough

Hubdoc reads the date, supplier and total, but not the lines, and stores data in the US. What Hubdoc does well, where it stops, and when Invoreg AI fits better.

Hubdoc is the capture tool many small businesses get without choosing it, because it comes with Xero. It photographs a bill, reads the supplier, date and total, and publishes it with the document attached. For a few dozen simple bills a month that's often enough. People look for an alternative when they need more than the header.

Where Hubdoc stops

No line items. Hubdoc's own help centre says it doesn't extract line-item data automatically. You type the lines or rely on supplier rules. Xero has said line-item extraction is not in its pipeline. On a 26-line phone bill, that's 26 lines typed by hand.

US data storage. Hubdoc's privacy policy says its servers are on AWS in the United States, so EU documents leave the EU.

Fewer automatic bank-statement imports. Hubdoc retired its automatic statement-fetching connections in 2022. Statements now come in by email, upload or a few direct connections.

No approval workflow. We found none in Hubdoc's documentation. It has duplicate detection and per-supplier rules.

Where Invoreg AI fits better

  • Your invoices have many lines that need coding: utilities, telecoms, wholesale, construction.
  • You must keep supplier invoices in the EU for GDPR reasons, or because your engagement letters promise it.
  • You want approvals before anything is booked, and an audit log of who approved what.
  • You want the bank statement matched to those invoices too, without a bank feed. See bank reconciliation.

Where Hubdoc is the better choice

  • You're on Xero and happy with header-only capture. It's included in your plan, and Invoreg AI's Xero connector isn't live yet. Hubdoc is the sensible default.
  • You only need a digital filing cabinet for receipts, with a mobile app.

How to decide

Pick your three longest recurring bills. Count how many lines you type into Xero for each one every month. If it's more than a handful, header-only capture is costing you the time it was meant to save. Book a demo with those bills.

Questions accountants ask

Does Hubdoc extract line items?

No. Hubdoc's help centre says it does not automatically extract line-item data; you enter lines by hand or save them in supplier rules. In July 2025 Xero marked line-item extraction as not in the pipeline and pointed users to App Store apps.

Is Hubdoc free with Xero?

In the UK, Hubdoc is included in Xero's Simple, Ignite, Grow, Comprehensive and Ultimate plans while it is connected to your Xero subscription. As a standalone product it is US$12 a month.

Where does Hubdoc store data?

Hubdoc's privacy policy states that its server infrastructure is on Amazon Web Services in the United States, so data is transferred outside the UK and EU. Invoreg AI processes documents in the European Union.

Does Invoreg AI work with Xero?

Not yet. Invoreg AI posts natively into Zoho Books today; Xero and QuickBooks Online connectors are planned. If you are on Xero, tell us and we will tell you the date.
