Switching from Hubdoc: download your documents, then downgrade or remove

How to move from Hubdoc to Invoreg AI: download every folder as a ZIP and export the data as CSV, what downgrading, removing or deleting an organisation does, and what to check first if you're on Xero.

People move on from Hubdoc for two reasons: it reads the supplier, date and total but not the lines, and its data is stored in the US. If either matters to you, this guide covers getting your documents out and what happens to the Hubdoc organisation afterwards. Our Hubdoc alternative page covers the differences in detail.

Facts about Hubdoc are as of 16 October 2026 and come from Hubdoc's support centre. Sources are listed at the end.

First, check your accounting software

Most Hubdoc users are on Xero, because Hubdoc comes with many Xero plans. Invoreg AI's Xero connector is planned, not live. Until it is, Invoreg can produce an import file in a format your accounting system accepts. That's set up on request and usually takes a few days. If you need bills to arrive in Xero through the API, tell us and we'll give you a date before you change anything.

If your companies are on Zoho Books, Invoreg posts bills natively today, with every line, VAT per line and the PDF attached, and the rest of this guide applies as written.

Step 1: download your documents

Hubdoc downloads work folder by folder.

  1. Click the folder, then the arrow to the right of its name.
  2. Choose Download All Files. You get a ZIP that keeps the folder structure from Hubdoc.
  3. Repeat for every folder you want to keep.

You can also download a single document from its own page.

Step 2: export the data as CSV

  1. Click the folder, then the arrow next to its name, and choose Export to CSV.
  2. Enter a start and end bill date. Only documents with a bill date in that range are exported.
  3. Click Download.

The CSV has one line per document: document ID, supplier, bill date, invoice number, due date, currency, subtotal, tax and total. A document without a bill date isn't included, so check for those before you rely on the export. If you use tags, you can also export all documents in a tag as CSV.

Hubdoc doesn't extract line items, so there are no lines to export. The lines live in your accounting software, wherever someone typed them.

Step 3: decide what happens to the Hubdoc organisation

Hubdoc gives you three options. Choose after your downloads are done.

Option What it does Who can do it
Downgrade Stops payment. The organisation becomes read-only: you can still see existing documents, but nothing is extracted or published. Settings → Billing Information → Downgrade Account
Remove a client (practices) Removes your access to a client's organisation. The client can still log in. Settings → Billing Information → Client Subscriptions
Delete Permanently removes all data and documents. One organisation at a time. Only the organisation owner or the person who set it up

Two things to know if Hubdoc came with Xero:

  • A client organisation included in a Xero subscription can't be downgraded. Remove it from your list, or remove yourself as a user.
  • Disconnecting a Hubdoc organisation from Xero effectively downgrades it: without payment details it becomes read-only after 15 days.

Deleting can't be undone, so download first.

Step 4: set up Invoreg AI

Each company takes about five minutes. The getting started tutorial shows each screen.

  1. Create the organisation with the company's legal name, VAT number and country.
  2. Connect the accounting software, or ask for an import file if yours isn't connected yet.
  3. Set default accounts for the suppliers you see most often. After that, Invoreg proposes the coding for every line from the company's history with each supplier.
  4. Add a mailbox, one per company, and forward the address suppliers used for Hubdoc to it.

Step 5: run both for a few weeks

Invoreg compares each new document with what's already in the workspace and with bills already in your accounting software. A bill Hubdoc has already published is matched to its upload and marked registered, so it isn't booked twice. Nothing is posted until a person checks it and clicks Register.

What you gain, and what it costs

  • Every line, read. Each line's description, quantity, price, VAT rate and account, instead of the header only.
  • Processed in the EU, rather than on servers in the United States.
  • Bank statements read line by line, with each payment matched to its invoices. See bank reconciliation.
  • The cost: Hubdoc is often included in your Xero plan; Invoreg AI isn't free. Credits are prepaid in packs, from €100 for 250 documents, valid for a 12-month credit year, plus a one-off setup fee from €199. The first 20 invoices are free. See pricing.

If you are moving for line items on long invoices, count how many of last month's bills had more than five lines. That's the work Invoreg takes off you. Book a demo and bring a few of them.

Questions accountants ask

How do I download all my documents from Hubdoc?

Open a folder, click the arrow next to its name and choose Download All Files. You get a ZIP that keeps Hubdoc's folder structure. Repeat for each folder. For the data, choose Export to CSV on the same menu and enter a bill date range.

What's the difference between downgrading and deleting a Hubdoc organisation?

Downgrading stops payment and leaves the organisation read-only: you can still see existing documents, but nothing new is extracted or published. Deleting permanently removes all data and documents, can only be done by the organisation owner or the person who set it up, and can't be undone.

My Hubdoc came free with Xero. Can I downgrade it?

Not if you set it up as a client organisation included in a Xero subscription. Hubdoc says to remove it from your list instead, or remove yourself as a user. An organisation disconnected from Xero becomes read-only after 15 days unless payment details are added.
