Most of a switch is timing. Export what you need while Dext is still active, cancel inside the notice window, and run Invoreg AI on new invoices before the old subscription ends. This guide covers each step, using Dext's own help centre for the Dext side.
Facts about Dext are as of 16 October 2026 and come from Dext's help centre. Sources are listed at the end.
First, check that Invoreg AI fits your setup
Invoreg AI posts bills natively into Zoho Books today. If your clients are on Zoho Books, everything below applies as written. Dext also has a Zoho Books integration, so you are swapping one connected tool for another.
If you are on Xero or QuickBooks Online, the connectors are planned, not live. Until they are, Invoreg can produce an import file in the format your system already accepts. If you depend on Dext publishing straight into Xero or QuickBooks, wait for the connector and tell us so we can give you a date. Pricing differences are set out in Dext alternatives.
Step 1: export your data from Dext
Do this while your subscription is active. Dext recommends exporting before you cancel.
- The data, as CSV. In Dext Prepare, click Export All to download all your items in CSV format. To export a selection instead, tick the items, then Tools → Export, and choose CSV.
- The documents, as PDF. Use the same export window and pick PDF at the top. A PDF export takes up to 250 items, so use Advanced Search and Filter to export a month, a client or a supplier at a time.
- Decide about Archive. The export window asks whether to move exported items to the Archive. Leaving them where they are makes it easier to see what you have already exported.
- Keep the files with the client's records. You need the original documents for your retention period, wherever they were captured.
Your bills are already in your accounting software, with their attachments if Dext published them that way. The export is your copy of the source documents and Dext's data, not a migration.
Step 2: time the cancellation
- Who: only a user with the Business Admin role can cancel. If your accountant or bookkeeper pays for Dext, they cancel. Partner (practice) accounts go through their Dext account manager.
- When: on an annual plan, cancel at least 30 days before the renewal date. Inside that window the cancel button is greyed out and the plan renews.
- How: Business settings → Subscription → Billing Details → Cancel subscription, then confirm. A banner on the Subscription page shows the expiry date.
- After that date: the subscription stays active until the end of the period you've paid for. After it expires, extraction stops but you can still log in and download your data. Dext's terms allow it to delete accounts after expiry, so don't rely on the account as an archive.
- App store purchases: if you bought through the Apple App Store or Google Play, cancel there.
Step 3: set up Invoreg AI
Each client company takes about five minutes. The getting started tutorial shows each screen.
- Create the organisation with the company's legal name, VAT number and country.
- Connect the accounting software. Invoreg brings in the chart of accounts, tax codes, vendors and items, so it proposes codes the ledger already uses.
- Set default accounts once, starting with the ten suppliers you see most often. After that, Invoreg proposes the coding for each line from the company's history with each supplier.
- Add a mailbox, one per company.
Step 4: move the email address
Suppliers who send invoices to the address you used for Dext need to reach Invoreg instead. You can:
- Forward: set a forward from the address suppliers already use to the Invoreg mailbox. Suppliers change nothing.
- Update suppliers: give your most frequent suppliers the new address, starting with those who send the most.
Do both if you like. If the same invoice arrives twice, it is flagged as a duplicate and linked to the original.
Step 5: run both side by side, then stop
For a few weeks you may have documents in both tools. That's fine:
- Invoreg compares each new document with what's already in the workspace and with bills already in your accounting software. A bill Dext has already published is matched to its upload and marked registered, so it isn't booked twice. See duplicates, filters and search.
- Nothing is posted until a person checks it and clicks Register, so you decide when Invoreg takes over for each client.
Once every client's invoices are flowing through Invoreg, let the Dext subscription run to its end date.
What changes day to day
- Every line is read on every invoice. There is no line-item add-on. One credit covers a document of up to three pages.
- Bank statements use the same credits, and each payment is matched to the invoices it settles. See bank reconciliation.
- Approvals at one, two or three levels before anything is registered, if a client wants them. See purchase approvals.
- Credits are prepaid in packs and last a 12-month credit year, from €100 for 250 documents. Setup is a one-off fee from €199, and the first 20 invoices are free. See pricing.
A one-month plan
| When | What |
|---|---|
| Week 1 | Export CSV and PDFs from Dext. Set up your first client in Invoreg and check 20 real invoices. |
| Week 2 | Add the remaining clients, set default accounts, set up the forwards. |
| Weeks 3–4 | Run both. New invoices go through Invoreg; Dext's backlog clears. |
| 30+ days before renewal | Cancel Dext as Business Admin. Keep your exports with the client records. |
Book a demo and bring last month's invoices for one client. We'll run them through Invoreg with you.
