How do you organise supplier invoices, and keep track of what you owe? Invoices arrive everywhere: email, post, supplier portals, and photos from someone's phone. Step one: send them all to one inbox.

Step two: keep each invoice in one place, attached to the bill in your accounting software. Step three: give every invoice a status. Received.

Approved. Booked. Paid.

Then your aged payables report shows exactly what you owe. Step four: name them the same way every time, and check for duplicates before you book. In the UK, keep the records for six years.

A complete scan is usually fine for VAT, so the paper can go. Invoreg gives each client one list, with duplicates flagged. The first twenty invoices are free, at invoreg.com.
