AutoEntry's credits and its 13-month data retention give you room to switch without rushing, as long as you do things in the right order: back up, use what you've paid for, then cancel. This guide covers each step, using AutoEntry's own help centre for the AutoEntry side. For the price comparison, see our AutoEntry alternative page.
Facts about AutoEntry are as of 16 October 2026 and come from AutoEntry's help centre. Sources are listed at the end.
First, check your accounting software
AutoEntry connects to Sage, Xero, QuickBooks, FreeAgent, Exact and others. Invoreg AI posts natively into Zoho Books today. The Xero and QuickBooks Online connectors are planned, and a Sage connector is available on request. For any other system, Invoreg can produce an import file in the format it already accepts, set up on request.
So the switch is simplest if your companies are on Zoho Books, or moving to it. If you rely on AutoEntry publishing straight into Xero, QuickBooks or Sage, tell us which, and we'll give you a date before you cancel anything.
Step 1: back up your files
AutoEntry offers two routes.
Do it yourself, folder by folder. Export and download the files from each folder in turn. To download invoice data as CSV, tick the invoices in the Inbox (or tick the top-left box and choose All), then pick CSV from the download option. Expenses must be approved and moved to the Purchase inbox before they can be downloaded.
Ask support for one ZIP. You can't bulk-download in the product, but AutoEntry support can generate a ZIP. Send them:
- the billing user's email address,
- the company names,
- the folders (whole folders only, such as Purchases, which includes its Inbox, Archive and Rejected),
- a date range in MM/YY format, if you want one.
The billing user gets an email when it's ready and downloads it from the Invoice Downloads tab or Settings. The link works for seven days, so save the files straight away. Documents keep their original format: a JPG stays a JPG, a PDF stays a PDF.
What you can't take: suppliers and their rules can't be downloaded. AutoEntry suggests exporting all processed items to Excel instead.
Step 2: use your credits, then cancel
- Who: only the billing owner can cancel. Other users don't see the option.
- How: Settings → Subscriptions and Billing → Cancel subscription, give a reason and confirm. If you manage several organisations, check you're in the right one first.
- Timing: cancellation is immediate and stops future credit purchases. If the subscription renews within 24 hours, you can't cancel until after the renewal.
- Credits: you can use remaining credits for 30 days after cancelling; then they expire. If you need longer, pause the subscription before cancelling.
- Data: AutoEntry keeps your data for 13 months after cancellation, then deletes the account permanently. Back up anyway; don't treat the old account as an archive.
- Sage bundles: a subscription bundled with Sage can't be cancelled in AutoEntry. Contact AutoEntry support, or Sage support for Sage for Accountants.
A sensible order: back up, start Invoreg on new invoices, let AutoEntry finish its backlog on the credits you have, then cancel and use the 30 days to clear anything left.
Step 3: set up Invoreg AI
Each company takes about five minutes. The getting started tutorial shows each screen.
- Create the organisation with the company's legal name, VAT number and country.
- Connect the accounting software, or ask for an import file. Invoreg brings in the chart of accounts, tax codes, vendors and items.
- Set default accounts for the suppliers you see most often. That replaces the supplier rules you couldn't export: after that, Invoreg proposes the coding for every line from the company's history with each supplier.
- Add a mailbox per company, and forward the address suppliers used for AutoEntry to it.
Step 4: overlap without double-booking
While both tools are running, Invoreg compares each new document with what's already in the workspace and with bills already in your accounting software. A bill AutoEntry has already published is matched to its upload and marked registered, so it isn't booked twice. Nothing is posted until a person clicks Register.
How the credits compare
| AutoEntry | Invoreg AI | |
|---|---|---|
| Invoice with line items | 2 credits | 1 credit |
| Bank statement | 3 credits per page | 1 credit per 3 pages |
| Unused credits | Expire after 90 days | Valid for a 12-month credit year |
| Billing | Monthly plans | Prepaid packs, from €100 for 250 documents |
Invoreg's setup is a one-off fee from €199, and the first 20 invoices are free. AutoEntry figures are from its pricing page as of 7 October 2026; see the AutoEntry alternative page for the full plan list.
Book a demo and bring a month of one client's invoices and a bank statement. We'll run them through Invoreg with you.
